Author Instructions

Important Deadlines:

·  Paper submission: October 13, 2008 (Firm)-11:59 pm (EST)

·  Notification of paper acceptance: December 19, 2008

·  Camera ready final submission for accepted papers: March 2, 2009 (HARD)

·  Author Registration: March 2, 2009 (HARD)

Submissions:

  • If you are a new user of the EDAS system, you may want to follow the instructions for a new user specified below.
  • ALL submissions (initial and final) must be made on-line from this web site: http://edas.info/showConferenceDetails.php?c=6407& .
  • If you are submitting multiple papers, you only need to use one web account. Please use the same account (User name & Password) for any additional submissions.
  • If you need to edit any author information or resubmit your paper, it may be done up until the submission deadline. Please use the unique web account you used during initial submission, to edit or resubmit.
  • Email submissions will NOT be accepted.

Instructions to new users of the EDAS system:

Authors should submit their papers electronically by following the directions below:

  1.  Visit www.edas.info.  We suppose you DO NOT already have an EDAS user's account. Click the "New User" button.
  2. Create a profile.  Only the five fields with the red asterisk are required.  These fields are first & last name, affiliation (company or organization), country, e-mail address, and status. When the fields are filled in, check the "Privacy Policies" box and click the "Add Person" button.  [ note:  if you select USA as the country, you will get a message asking for your state ] 
  3. You will receive an e-mail containing your password.  You can then return to the EDAS log-in page (http://www.edas.info) and change your assigned password to one that is easier to remember.  To do this, click on the "My Profile" tab, and then click on "change your password".  Be sure to record your user name, password and ID number for later reference.
  4. To submit your abstract, click the "Submit Paper" tab.  Find AICCSA 2009 among the list of active conferences and click the button in the right-most column to access the form.  
  5. On the next screen titled "Register a Paper for AICCSA 2009", type in the title of the paper in the block, enter a short abstract, add yourself as an author, select the topic area(s) that your paper falls under and click the "Submit" button. The next page you see will have a large green check mark and a statement that "the paper was registered".  Click the "My Papers" tab at the top of the screen, and then select the Upload icon on the same row as the name of your paper.  The Upload icon (third column from the right) will open a dialog box that will enable you to select and upload the abstract file via the web or via FTP. 

Paper length: 

  • Regular papers: 
    You are allowed a total of eight (8) two column, 8.5x11 inch pages (including figures, tables, and references) in 10 point fonts. Please include 5-10 keywords, complete postal and e-mail address, and fax and phone numbers of the corresponding author.
  • Short papers:
    You are allowed a total of four (4) pages. This includes all figures, tables, and references.
  • Extended Abstracts of posters and doctoral research proposals:
    You are allowed a total of two (2) pages. This includes all figures, tables, and references.

Paper Specifications:

Use these templates (word or pdf) to meet formatting requirements below. Your paper MUST comply with the following specifications:

  • Paper Size: US Letter (8.5" x 11") or A4 (210mm X 297mm)
  • Paper formatting: single spaced, double column, 9pt font or larger
  • Fonts: Embed & Subset ALL fonts in your PDF file. No Type 3 fonts allowed.
  • File Format: PDF only
  • File Size Limitation: 2.0MB
  • Do NOT page number your paper
  • Do NOT apply security settings to your PDF file.
  • Note: Deviations from the above specifications could impede the review of your paper and result in automatic rejection.

Additional Requirements:

If your paper is accepted for publication at this conference, you will also need to adhere to the following requirements:

  • IEEE policy requires that you send us a signed Copyright Form for each paper. Without this form, we can NOT publish your paper.
  • REMINDER: At least one author per paper must be registered for the conference.
